How to Update Email Signatures: Complete Guide

Need to update your email signature? Here's how to do it in every major email client.

Gmail (Web)

  1. Click the gear icon → "See all settings"
  2. Scroll to "Signature" section
  3. Select your signature or create new
  4. Edit the content
  5. Scroll down and click "Save Changes"

Outlook (Desktop)

  1. Go to File → Options → Mail
  2. Click "Signatures..."
  3. Select signature to edit
  4. Make your changes
  5. Click OK to save

Outlook (Web)

  1. Click Settings gear → "View all Outlook settings"
  2. Go to Mail → Compose and reply
  3. Edit signature in the editor
  4. Click Save

Apple Mail

  1. Go to Mail → Preferences (or Settings)
  2. Click "Signatures" tab
  3. Select account and signature
  4. Edit in the right panel
  5. Close window to save

When to Update

  • New job title or role
  • New phone number
  • Company rebranding
  • Quarterly campaign changes
  • Outdated information

Remember: If you use multiple devices, you may need to update the signature on each one separately.
