Dynamic Fields

Dynamic fields (also called merge fields or placeholders) are variables in email signature templates that are automatically replaced with employee-specific data at deployment time. For example, {{firstName}} becomes "Jane" for one user and "John" for another.

Key Aspects

Per-User Personalization

Each employee gets a unique signature generated from the same template using their specific data.

Directory-Driven

Field values are pulled from Azure AD, Google Workspace, or other user directories automatically.

Auto-Updating

When directory data changes (e.g., a title update), the dynamic field updates the signature automatically.

Common Dynamic Fields

Name & Title

First name, last name, full name, job title, and pronouns pulled directly from the user directory.

Contact Details

Phone number, mobile number, fax, and email address for each individual employee.

Department & Location

Department name, office location, building, floor, and mailing address.

Company Information

Company name, division, subsidiary, and registered address — useful for multi-entity organizations.

Social & Web Links

Personal LinkedIn profile, company social URLs, and individual or team web pages.

Custom Attributes

License numbers, certifications, languages spoken, or any custom field defined in your directory.

Frequently Asked Questions

What happens if a dynamic field is empty for a user?
Well-designed signature platforms handle this gracefully by hiding the field and its label entirely, rather than showing an empty placeholder. Siggly supports conditional visibility for fields.
Can I create custom dynamic fields?
Yes. Beyond standard fields like name and title, Siggly supports custom attributes from your directory. If the data exists in Azure AD or Google Workspace, it can be used as a dynamic field.
How are dynamic fields different from mail merge?
The concept is similar. Mail merge populates templates with recipient data for mass emails. Dynamic fields in signatures populate templates with sender data for personalized signatures.
Can dynamic fields include images?
Yes. Profile photos and department-specific logos can be dynamic fields, pulling from directory profile pictures or mapped image URLs based on department or role.
